Altus AV insight: Most SMBs have spent serious money on meeting room technology since 2020.

What Your Meeting Rooms Are Telling You (If You Listen)

What Your Meeting Rooms Are Telling You (If You Listen)

Most SMBs have invested heavily in meeting room technology over the last few years. Video conferencing kit, display screens, booking systems, unified communications platforms. The spending has been real.

But here is the problem. Very few businesses actually know whether any of it is working.

Rooms sit empty while teams fight over the one space that actually gets used. Devices fail and nobody notices until someone walks in for an important call. Facilities managers make decisions about office space based on gut feel rather than evidence. Finance directors ask whether the investment was worth it and get met with a shrug.

That needs to change.

Your Rooms Are Already Collecting Data

Modern AV and unified communications hardware is not passive equipment. It generates data constantly. Utilisation rates, booking patterns, device health, environmental conditions, energy consumption.

The issue is that most businesses are not capturing or using any of it.

When you connect the right analytics tools to your AV and IT infrastructure, those rooms become a source of genuine business intelligence. You can see which spaces are actually used versus which ones just look good on the floor plan. You can identify devices that are degrading before they fail. You can understand how your people actually work rather than how you assume they work.

What the Data Tells Different Teams

This is where it gets practical. Different parts of your business want different answers from the same data.

Facilities and real estate teams want to know which rooms are being used, when, and how often. That tells them whether the office layout is fit for purpose and where changes are needed.

IT and operations teams want device health monitoring. Proactive alerts mean problems get fixed before a user walks in and finds a broken screen five minutes before a client call.

Leadership and finance want to know whether space investments are performing. Not anecdotes. Numbers. Cost per meeting, occupancy trends, energy savings, reduction in support calls.

Right now, IT sits at the centre of all of that. The convergence of AV and IT infrastructure means IT teams are increasingly responsible for delivering insights that go well beyond keeping the network up.

Automation Makes It Practical

Analytics alone is useful. Analytics combined with automation is where the real efficiency gains appear.

Consider a few straightforward examples. A room booked but not entered within ten minutes gets automatically released, making it available to someone else. Screens and conferencing equipment drop into sleep mode when a room is empty. HVAC and lighting adjust based on actual occupancy rather than a fixed schedule.

None of this is complex in principle. But it requires your AV, IT, and building management systems to be connected and talking to each other. That is where a lot of businesses fall short. They have the hardware. They have the data. But the systems are siloed and nothing joins up.

The Real Business Case

AV has historically been treated as a cost centre. A necessary expense that facilities manage and IT support. This approach makes that framing hard to defend.

When you can show that meeting room utilisation has increased by 30%, that proactive monitoring has reduced support callouts, that automated energy controls have cut consumption in unoccupied spaces, the conversation changes. AV becomes a performance asset with measurable return.

For SMBs especially, that matters. You do not have budget to waste on underused space or reactive IT support. You need your infrastructure to justify itself.

Where to Start

You do not need to overhaul everything at once. A sensible starting point is an audit of what you already have. What devices are deployed? What data are they generating? What analytics capability exists in your current platforms?

From there, identify the gaps. Often the hardware is capable of more than it is currently being asked to do. The missing piece is integration and visibility.
